Current Need Provide high level administrative and operational support to the IP, IT, Technology, & Sourcing team within the General Counsel Organization with the ability to be a true partner and gatekeeper for the team. Position Description Responsible for heavy calendaring, scheduling cross-functional, multi-person and multi-time zone meetings and being the point person for scheduling availability Organizes domestic and international travel arrangements Prepares and processes expense reports, may review expense reports submitted to the department by direct reports team members Coordinates activities between departments and outside parties Contacts company personnel at all levels to gather information and prepare reports Collects and prepares information for use in discussions/meetings of team and outside individuals Prepares PowerPoint presentation materials Makes high level contacts of a sensitive nature inside and outside the company Manages special projects on behalf of the department Handles details of a highly confidential and critical nature Enter and update data in IP databases and generate database reports as needed. Other duties as assigned Qualifications Minimum Requirements 8+ years advanced administrative support experience Critical Skills Advanced skills in MS Office Word, Outlook, Excel, PowerPoint, Access, SharePoint and Publisher Ability to anticipate activities and take proactive action with little or no direction Strong time management and prioritization skills Ability to work on multiple tasks with demanding or competing deadlines Exceptional interpersonal and communication (oral and written) skills The ability to use automated office equipment, follow difficult instructions, and maintain written records Exercises judgment within generally defined practices and policies in selecting methods and techniques for obtaining solutions Excellent attention to detail and organization skills Uses discretion and maintains high level of confidentiality Responsible for quickly and accurately revising, formatting, and proofreading documents in Word and in Excel. Additional Knowledge & Skills Possess a strong understanding of office procedures and practices.
