Job Title: Dispatcher/Customer Service Representative

Job Summary: We believe that our Dispatchers are a critical part of our team. They are typically the first contact our customers experience. Our Dispatchers are to provide dispatching and customer service support to our service technicians and other administrative/functional departments. They will ensure customer issues are addressed in a timely manner. They must be able to work closely across various departments interfacing with multiple levels within the organization, which is necessary to achieve the goals of the department. They are to be detailed oriented, results driven, work well under pressure and above all else possess excellent customer service skills.

Essential Duties and Responsibilities:

  • Create and dispatch work order request to technicians.
  • Handle inbound and outbound calls.
  • Respond to email inquiries in a timely manner.
  • Complete technician payroll.
  • Maintain and monitor Call Management System (scheduling board).
  • Interact with internal and external customers via phone and in person.
  • Perform other general administrative duties as needed.

Qualifications:

EDUCATION and/or EXPERIENCE:

Associates degree preferred with a minimum of 3 years of relevant work experience in a dispatch and/or customer service environment supporting customers, vendors and/or clients in multiple locations. However, candidates with a high school diploma or general equivalency diploma (GED) with five years of relevant work experience will also be considered.

REQUIRED KNOWLEDGE, SKILLS AND ABILITIES:

  • Must be able to work scheduled shift (8 am-5 pm). Occasional overtime will be required as needed.
  • Strong customer service orientation to internal and external customers.
  • Excellent interpersonal skills.
  • Ability to communicate effectively both verbally and in writing.
  • Ability to work in a team and independently while managing time effectively.
  • Ability to be flexible, adapt to change and thrive in a hectic, fast paced environment.
  • Willingness to learn necessary product knowledge to complete daily tasks.
  • Demonstrated strong work ethic.
  • Ability to identify and quickly resolve problems.
  • Prior payroll and/or billing/accounting experience/knowledge a plus.
  • Proficient in Microsoft Office Suite, software usage and Internet research. Knowledge of COINS Ti is a plus.
  • Must be able to type more than 40 WPM.
  • HVAC and Heating industry experience is a plus.
  • Proven track record of success in a similar business.
