The Specifications Writer is responsible for assisting in developing and delivering project outline specifications and project manuals and the delivery of consistent, efficient and high quality technical services. The Specifications Writer provides support for professional staff on projects by reviewing and processing project specifications and provides assistance in maintaining resources for the research, evaluation, selection and specification of building materials, components, assemblies, systems and standards to produce a product of desired quality and performance predictability. The position reports directly to the Chief Operating Officer and collaborates with Specialty Practice Group project team leadership.

DUTIES

Specific responsibilities of the Specifications Writer may include, but shall not be limited to:

  • Assists the Chief Operating Officer in the formation of Firm policy as it relates to the use of building materials, components, assemblies and systems.

  • Maintains an awareness of the Firm's design standards as pertaining to contract documents and avails to professional staff for assistance in the development of these documents.

  • Supports Firm policy as it relates to the use building materials, components, assemblies and systems.

  • Communicates the Firm's expectations to Project Architects as they relate to project outline specification and project manual production.

  • Assists in developing, maintaining and updating office master narratives, outline specifications and project manual specification sections to reflect proficient, performance-based building science and technology and fill the needs of Project Architects in developing project specifications.

  • Solicits feedback from Project Managers and Architects concerning the effectiveness of the office masters and appropriateness of building materials, components, assemblies and systems being specified.

  • Assists in maintaining the Technical Resource Library as resource centers of knowledge and expertise in materials and methods of construction using appropriate building materials, components, assemblies and systems.

  • Assists the Chief Operating Officer in formulating, implementing and communicating Firm policy regarding quality planning, assurance and control as they relate to project delivery and project documentation standards, processes and procedures, including project plan reviews.

  • Understands project structure and its phases and milestones.

  • Works with Specifications Coordinator(s) and Project Architects in scheduling project outline specification and project manual production and communicates with professional staff regarding workload and project needs.

  • Works with Project Architects to resolve questions and inconsistencies in project outline specifications and project manuals.

  • Understands and implements specifications formats.

  • Produces accurate project documents in accordance with the schedule.

  • Establishes and maintains consistent methods for project paper / hard copy and electronic / digital data record files for outline specifications and project manuals

  • Avails for project meetings related to project outline specification and project manuals..

  • Assists Project Architects in confirming their understandings of the Owner / Clients' project goals and desires as they relate to building materials, components, assemblies and systems.

  • Assists Specifications Coordinator(s) and Project Architects in meeting Owner / Clients' goals and / or resolving Owner / Clients' problems as they relate to contract documents.

  • Assists project teams in resolving Owner / Client problems as they relate to contract documents.

  • Assist in researching and reviewing and evaluating and coordinating vendors that represent product lines that conform to the Firm's design standards.

  • Coordinates and facilitates informative lunch seminars with vendors.

  • Avails to staff for assistance in developing design concepts.

  • Assists project teams during construction phases with addenda, bulletins, document modifications, substitutions and submittals.

  • Assists in identifying potential problems and / or create ways to increase productivity impacting project profitability to project teams.

  • Assists project teams in reviewing consultant invoicing as may be requested.

  • Maintains base state registration and professional affiliations.

  • Uses word processing, spreadsheet, database and other software skills for proficient formulation, delivery and maintenance of project and Firm standard documents.

QUALIFICATIONS

  • 15+ years of professional architectural practice experience with over 10 years of project narrative, outline specification and project manual writing

  • Registered Architect.

  • Experience with AIA Contract Documents, ARCOM's MasterSpec, the AIA's Architect's Handbook of Professional Practice and CSI's Project Delivery Practice Guide.

  • Experience with elements of OmniClass, MasterFormat and UniFormat as foundational classification systems for structuring construction data attached to a BIM.

  • Experience with various green building rating systems, particularly USGBC's LEED certification and the US EPA's ENERGY STAR program.

  • LEED Accredited Professional and / or Construction Specifications Institute Construction Documents Technology Certificate Holder beneficial.

  • Experience with InterSpec's e-SPECS for Revit preferred.

  • Awareness of codes, regulations and standards and associations and societies, councils and institutes associated with the design professions and construction industry.

  • Varied experience in the overall practice of architecture, specifications research and project management experience.

  • Strong verbal and written communication skills with emphasis in interpersonal, collaboration skills.

  • Strong organizational and coordination skills with detail orientation.

  • Proficient in various documentation softwares including without limitation; MS Word, Excel, Access and Power Point.
